Terms of service

Version 2026-11 · AstraRota is provided by Mohammad Al Hussein (enskild firma, trading as AstraDev), organisation number 20030804, Skansgatan 8, 21132 Malmö, Sweden, contact info@astrarota.com (“we”, “us”).

1. Who these terms are for

AstraRota is a shift-scheduling service for businesses and organisations. It is not offered to consumers. By creating an account you confirm that you act on behalf of a business or organisation, that you are allowed to bind it, and that you accept these terms and our privacy policy. The organisation is the “customer”. If you process personal data of your staff in AstraRota, the data-processing note applies as well.

2. The service

AstraRota proposes work schedules from the people, absences, wishes and rules you enter, and checks each proposal against those rules. You decide which proposal to use. Proposals are decision support: they are checked against the rules you set, not against the law or a collective agreement. You are responsible for entering rules that match the working-time law and agreements that apply to you, and for the schedules you publish.

3. Accounts and roles

The person who signs up becomes the organisation’s owner. The owner can add managers and team leaders, change their roles and remove them. You are responsible for what the people in your organisation do in the service and for keeping passwords secret. Tell us without delay if you suspect misuse of an account. Members of one organisation cannot see another organisation’s data.

The customer can also give its staff their own accounts. Staff accounts see only the person’s own information and the team schedule the customer allows. The customer is responsible for inviting the right people with correct email addresses, for removing access when someone leaves, and for telling staff how their data is used (see the privacy policy, sections 3–5).

4. Time clock

If you use the time clock, it records the times people press clock in and out and, if you choose, the position of their device at that moment. This is a tool for your own record-keeping, not proof. Times and positions can be wrong or manipulated, and the service does not decide pay, working-time compliance or any employment matter. You are responsible for checking entries, for lawful use (including any rules on monitoring employees and informing or consulting staff) and for how long you keep them.

5. Free trial

A new organisation gets a free trial of 14 days with up to 30 active workers and no card. When the trial ends the organisation becomes read-only: you can still view and export everything but cannot change it until you choose a plan. Trial organisations that do not choose a plan are deleted 60 days after the trial ends.

6. Plans, price and payment

Plans are priced per active worker per month, in euro, as shown on the pricing page when you subscribe. An “active worker” is a person marked active in one of your teams; archived people are not counted. The quantity on your subscription follows the number of active workers (checked at least daily) and changes are charged pro rata. The Business plan also has a one-off onboarding fee, shown before you pay. Enterprise is by written agreement.

Payment is handled by Stripe. Subscriptions renew monthly until cancelled; you can cancel at any time in the billing portal and keep access until the end of the paid period. Amounts exclude VAT, which is added where required; businesses in other EU countries enter their VAT number at checkout. Fees already paid are not refunded except where the law requires or we agree in writing. If a payment fails we retry it; if it stays unpaid the organisation becomes read-only (your data is kept).

We may change prices for future periods with at least 30 days’ notice by email; you may cancel before the new price applies.

7. Your data

You keep all rights to the data you put into the service. You give us the right to store and process it only to provide the service to you. You can export your organisation’s data at any time and delete the organisation yourself (Account > Organisation). See the privacy policy and the data-processing note for details, including how long copies remain in backups.

8. Acceptable use

Do not use the service to break the law, to attack or overload it, to try to reach another organisation’s data, or to store data you have no right to process. We may suspend an account that does, after warning you where that is possible.

9. Availability and support

We run the service with reasonable care and take daily backups, but we do not promise uninterrupted availability or a specific response time. Support is by email to info@astrarota.com on a best-effort basis; Enterprise customers can agree service levels in writing. We may change or improve the service; if a change removes a feature you rely on, we will tell you in advance.

10. Liability

Nothing in these terms limits liability that cannot be limited by law. Otherwise, our total liability to the customer for any claim connected with the service is limited to the fees the customer paid in the 12 months before the event, and we are not liable for indirect loss or lost profit. We are not liable for decisions you take on the basis of a proposal, nor for loss caused by rules entered incorrectly.

11. Ending the agreement

You may stop at any time by cancelling and, if you wish, deleting the organisation. We may end the agreement with 30 days’ notice, or immediately for serious breach. After the agreement ends your data is deleted as described in the privacy policy.

12. Changes to these terms

We may update these terms. For material changes we will give at least 30 days’ notice by email to the owner. Continuing to use the service after the date means you accept the new version.

13. Law and disputes

Swedish law applies. Disputes are settled by the Swedish courts, unless mandatory rules say otherwise.
